Open event management
Open your sheet from My Sheets or your organization hub and choose its management controls. Participants, Slots, and Event settings separate the main tasks. Switching sections preserves unsaved entries in memory, but submitting a form or refreshing reloads the page. Save each form before editing another.
Participants and check-in
In Participants, review the roster, Export CSV, or open Print check-in sheet and use your browser's print dialog. CSV export is available to the sheet's creating organizer; ask them to export if your organization account is refused. Keep exported contact details and printed rosters private.
Expand Add a participant manually to record a signup received by phone or in person. Choose a slot, name, optional email, and quantity. Manual entries do not send confirmation emails. Removing a signup releases its reserved quantity; coordinate changes with that participant.
Email an event update
In Participants, choose Email participants. Write a subject and message, check the recipient count, and send. Each distinct email address with an active signup receives one separate email with private management links for each of their signups and the public sheet link. Participants can edit details, swap, or cancel using those private links; their original confirmation links keep working. Cancelled signups, waitlists, and manual entries without an email are excluded. Replies go to the account email of the organizer who sends the update. Organization members can also send updates for their organization's events.
Keep the page open until the results appear. The result shows emails accepted for delivery and any addresses that could not be sent; acceptance does not guarantee inbox delivery. Local previews do not deliver mail. Contact failed recipients separately: sending the update again contacts everyone, including people whose email was already accepted. Wait a minute before sending another update. If the request is interrupted, some emails may already have been sent.
Edit slots safely
In Slots, add or edit a shift or item and save its form. Capacity cannot be reduced below the quantity already claimed. Once a slot has signups, its type and schedule stay fixed; coordinate with participants before replacing a scheduled slot. Remove existing signups before deleting an occupied slot.
Settings, closing, and deletion
In Event settings, update the title, description, location, signup deadline, name visibility, or waitlist setting and save. Move the deadline into the past to close registration; set a future deadline to reopen it. Changing event details does not send a broadcast to participants, so communicate updates yourself.
Delete This Sheet permanently removes the sheet and its associated records. Save any roster you need first. Deletion cannot be undone.
